Managing your account and fees

Once you’ve successfully signed up for PayPal Here, you’ll have access to business tools online and in the app. Customise your business profile to control how you want it displayed in receipts and to the public, view your daily sales or run full sales reports at the tap of a button. You can also create sub-users for your business. Overview

Topic 1 of 8Updating your business information

Your business information appears on your customer receipts and your customer’s card statement.

Using your correct business name (i.e. not the name of the business owner) and contact information helps your customers recognise your receipts and charges on their card statement, thereby preventing chargebacks.

There are two ways to review and edit your business details. Please note that you can only change your business name via your PayPal account online.

Option 1: via the PayPal Here app

Open the menu and tap in your business name.

Option 2: via the PayPal account online

Log in to your PayPal account

  • To review and edit the information on your receipts, click on Tools in the menu bar at the top of your account overview. Select All Tools in the drop-down menu and then click on PayPal Here
  • To edit your business name as displayed on customer receipts, click on the profile icon in the top right screen of your account overview and select Profile and Settings. Click on the Update link next to Business information. Click on Edit in the Your business information section to update your business name
  • To edit your business name as displayed on your customers’ card statement, click on the profile icon in the top right screen of your account overview and select Profile and Settings. Select My selling preferences in the left hand menu and click on Update next to Card statement name towards the top of the screen

    You can allow multiple users to carry out sales activities on behalf of your PayPal Here account.

    Setting up multiple users online

    • Login to your PayPal account online
    • Go to Profile, Profile and Settings and then My Account Settings
    • Under Manage Users, click Get started (or Update)
    • Set the appropriate permissions for your new user. To use the PayPal Here app, your users will at least need the Request money and send invoices permission
    PLEASE NOTE
    Each user can only be logged in once at any one time and a card reader can only be paired to one mobile device at any one time.

    Topic 3 of 8Reviewing your sales history

    You can use PayPal Here to view your entire sales history on one screen.

    • Tap the menu icon, then tap Sales Activity
    • Tap Sales History
    • You’ll see a list of your sales. The icons will tell you which sales are paid, unpaid, refunded or cancelled
    • Tap any transaction you want to view in full detail
    • When you’re finished, tap Back

    You can also login to your PayPal account online to see your sales history and to generate sales reports.

    Reviewing your sales report

    You can use PayPal Here to view and download aggregated sales reports broken down by time period, payment type and product.

    • Tap the menu icon, then tap Sales Activity
    • Tap Sales Reports
    • You’ll see a summary of your sales for today. Tap on Today to change the time period between daily, weekly, etc. Use the arrows at the top of the screen to navigate backwards or forward in time
    • Tap View details to see a breakdown of sales by product and payment type for the period you’ve selected. When you’re finished, tap Back
    • Tap on the icon in the top right corner of the screen to export your sales report via email or in a CSV file
    • When you’re finished, tap Back

    Reviewing saved customer information

    At the end of the transaction you will have the option to save the customer’s contact details by tapping on Save Customer Information on the done screen. Fill out the customer’s details in the form that appears and tap Done.

    You can access this Customer Information by looking up the transaction in your Sales Activity and Sales History reports.

    • Tap the menu icon, then tap Sales Activity
    • Tap Sales History
    • You’ll see a list of your sales
    • Tap any transaction you want to view in full detail
    • Scroll down and tap on the customer name above Refund to review the customer’s details
    PLEASE NOTE
    You cannot create an overview of your customers or download a full report with all your customers.

    Topic 6 of 8Transferring funds

    You can transfer money from your PayPal balance to a bank account linked to your PayPal account (log in to PayPal to link and confirm your bank account if you have not done so already).

    • Tap the menu icon, then tap Sales Activity
    • Tap Transfer Funds
    • In the From field, select the PayPal balance from which you want to transfer funds
    • In the To field, enter the destination bank account
    • Enter the amount to be transferred and tap Transfer

    Sales made using the Chip & PIN or contactless functionality of your card reader, go into your PayPal account straight away from where you can then transfer the funds into your bank account within 2 hours or spend it online direct from your PayPal account*.

    Topic 7 of 8 Funds availability

    PLEASE NOTE
    As a PayPal Here merchant, you may be subject to Reserves, which is money set aside in your PayPal account to help ensure that you’re able to meet any liabilities that your business might incur.

    Reserves on funds received

    Reserves may apply to all funds received into your account, or only to specific payment types. We will let you know during the sign-up process whether there are any reserves on your account. We’ll also send you an email with the specific details of your funds availability, and you’ll be able to see these details in your account at any time.

    Reserves placed on your account

    Any reserves placed on your account will be dependent on the characteristics of your business or your account. We regularly review the reserve settings on all PayPal Here accounts and may adjust them over time. A record of good performance and no disputes or chargebacks can lead us to reduce the reserve settings on your account.

    More about funds availability

    Topic 8 of 8 Fees

    There are no monthly fees or fixed terms with PayPal Here. The card reader is a one-off purchase and then you simply pay as you go per transaction.

    Chip & PIN and contactless

    Transaction fees for Chip & PIN and contactless payments start at 2.75% and can drop to as low as 1% based on your total sales volume processed with PayPal.

    Other rates

    A rate of 3.4% + 20p applies for card payments made by swiping the magnetic strip or manually entering the card details. Amex card payments with Chip & PIN, Chip & Signature, and Contactless functionality are always processed with a rate of 2.75%. Amex card payments made by swiping the magnetic stripe or manually entering the card details are always processed with a rate of 3.4% + 20p. Additional fees such as cross-border fees may apply.     Merchant Rate

    You can apply for the below Merchant Rate if you’ve processed more than £1,500 in total payments through PayPal in the previous calendar month and your account is in good standing (not currently under investigation). We will look at your total payments processed to determine your Merchant Rate on a monthly basis.

    There are 2 fee structures available for this solution:

    Blended fee structure

    The blended fee structure can include two components – a set percentage for each transaction, plus a fixed fee for some transactions. You’ll pay the same rate regardless of the card type used, with PayPal absorbing any fluctuations in the actual cost of performing the transaction. For example, you might be charged 2.75% or 3.4% + 20p depending on the transaction type. You’ll receive the money in your PayPal account as soon as your customer makes the purchase, and that money is usually available immediately to withdraw to a bank account.

    The Blended fee structure may be preferred if:

    • Immediate availability of funds on all your transactions is important
    • Predictable transaction costs are essential for planning
    • Quick and simple reconciliation of PayPal and card sales is preferred

    Interchange Plus fee structure

    The Interchange Plus fee structure can include three components – interchange fees (set by MasterCard and Visa), a set percentage for each transaction, plus a fixed fee for some transactions. Interchange Plus rates apply only to transactions in which your customer has paid you directly with a debit or credit card. Interchange fees may vary depending on the country of issuance, category and type of card used to make the payment. For example, you might be charged interchange + 2.5% or interchange + 3.15% + 20p depending on the transaction type

    The Interchange Plus fee structure may be preferred if:

    • The vast majority of your sales are from consumer card types in the UK or from within the European Economic Area where interchange fees are capped.
    • Delay of one to two business days to the availability of your credit and debit card funds is acceptable.
    • Differing settlement times between card sales and PayPal sales doesn’t impact reconciliation.

    Maintaining your Merchant Rate
    After qualifying for Merchant Rate pricing you need to maintain a payment volume of more than £1,500 per month to remain eligible for Merchant Rates. In the event that a payment volume of more than £1,500 is not maintained in the previous calendar month, or if you have unresolved chargebacks, you will no longer be eligible for Merchant Rate pricing and Standard Rate fees will apply. You don’t need to reapply for Merchant Rate fees if your payment volume drops below £1,500 in the previous calendar month. Merchant Rates will automatically apply again when you reach the qualifying payment volume.

    How to apply
    If you’re interested in these merchant rates, please log in to your PayPal account and apply via the online application form. If you are declined, please note that you will only be able to reapply in 30 days' time.
